Here are the instructions my predecessor wrote for our assistant (rules before my changes):
Rules for Updating Serials Holdings in Cataloging
Important KeysF3 or F4 - Inserts line into holding recordF9 - Inserts “delimiter symbol” into cataloging line (the symbol that marks a new field)
Important Things to Know866 - This is the line number for holding info.4 0 - These are the “indicators” to use on all 866 lines (type “4" [tab] “0" [tab]).$8 - Subfield "8" is Field Link and Sequence #. almost always enter "0"$a - Subfield “a” is where holding info goes.$z - Subfield “z” is for public notes.$x - Subfield “x” is for private (staff) notes.
Format for Holdings in 8xx Fields
Sample Holding Information:
v.1-15 (1984-1999) - basic entry.
v.1-10,12-15 (1984-1994, 1996-1999) - comma indicates gap in holding.
v.11:no.1-3,6 (1984-1995) - number individual issues of incomplete v.’s.
v.1-10,11:no.1-3,6 (1984-1995) - Incomplete v’s can follow complete v’s.
v.1-10,11:no.1-3,6 (1984-1995)v.12-15 (1996-1999) - Complete v’s can’t follow incomplete v’s on the same line.
v.1-10 (1988/1989-1998/1999) - use academic years if journal does
v.34 (1999/2000) - always write four digit “2000" not “00"
v.12:no.1/2,4 (1997) - slash in enumeration means combined issue
Rule #1: Records ought to have two parts an “enumeration” (volume, numbers etc.) section and a “chronology” (date) section. The chronology ought to be in parentheses.
Rule #2: The enumeration ought to be as accurate as possible but no longer than necessary. Use commas without spaces for gaps in enumeration if you are not changing the level of enumeration (i.e. v.1-34,36-40).
Rule #3: Use separate lines to indicate large gap in holdings or to indicate that we are moving from a smaller unit (i.e. an issue) to a larger unit (i.e. complete volume).
Rule #4: Dates do not have to be as accurate as enumeration. You do not have to record the date of each issue of an incomplete volume just the date of the volume.
Rule #5: New series or new numbering should always start on a new line. Label each new series. (i.e. v.1-10 (1960-1970) [new line] ser.2 v.1-13 (1971-1986))
Rule #6: SUPPLEMENTS should be entered in 867 fields.
Rule #7: INDEXES should be entered in 868 fields.
Rule #8: Misc. punctuation: Semicolon “;” is for gaps in numbering where we know that there is no gap in publishing (we have all issues published). Brackets “[]” are for information added by library staff.
Rule #9: Don’t guess, ask!!

Does anyone have any documentation for creating detailed serial holdings that they would be willing to share? I need to train a graduate assistant to create detailed holdings for titles in our Special Collections, and we no longer have instructions for this. A few years ago, we switched to summary holdings. I thought I would check before I start from scratch.
