Wow thanks for the great discussion.  We do use EBSCO, so I think that is where I will start.  Fortunately, we're small and don't have a massive amount of titles.  But, it sounds like the process won't be easy.  I'm making it my goal this summer.

We have the Millennium ILS and the Millennium ERM module. The ERM has license records where you can store this type of information. When I started my current job in 2008, I went through all the old paper packets for e-resources and scanned in licenses as PDFs, and entered licensing terms. With new resources I do this as well. I also note Terms & Conditions on the hosting website, especially if no license is present.

 

We had Innovative customize the ERM records some including ILL. Codes translate to permit explicit, prohibit explicit, permit interpreted, prohibit interpreted, Ariel only, print/fax only, special restrictions, silent. Then in text note fields below I will quote the pertinent license language and note any special restrictions. The info is partially displayed in our OPAC or I can run reports on this.

 

If you don’t have a paid ERM, I think there are free ones out there. Or at least a spreadsheet would be helpful. If you can collect a bunch of this information beforehand and then add as new resources are added, you will have the information ready to go when somebody requests it.

I'm not sure if this is an appropriate question for this list-serv.  I've been tasked with finding out whether we have permission to send articles via Interlibrary Loan from our individual e-journal subscriptions.

 

Is this the only way to do this: Search each publisher's site, or contact them?
