We don’t have a formal checklist, though I might look into creating or “borrowing” one.

 

We look at elements such as cost and usage and factor those into our periodicals/databases decisions.  What we started doing last year in a more formal manner than in the past was intensively reach out to the academic departments and ask them for feedback on the titles we hold in that discipline.  We asked for input on titles to keep, drop, or add, and also if they had any format preferences.  We’re trying to go online as much as possible within budgetary feasibility (but as Melissa said, sometimes titles are just too expensive to switch).  We try to follow departmental preferences as much as possible, but as the library  do reserve the right to make the ultimate decision if one format is significantly cheaper than the other.  Cost savings from any cancellations or format changes to into adding new titles (either by faculty request or with examination of journal titles that we consistently max out on in interlibrary loan requests).

Isn't it sad that our procedure pretty much assumes cuts and cancellations?

 

One other step that I forgot to include in my analysis is consideration of whether any print subs (or print+online) should/can move to online-only in the renewal.

At this point, almost all of our print subs are in that format either because online is not an option, or because the cost of online is exceptional and prohibitive (Science and Nature).

But every year, I check just in case any of the print-only titles' publishers have finally taken the step into the 21st century and have an online option now that we can afford.
