If we have a print + online subscription, the order record is attached to the bib for the print. A separate bib is downloaded with a link to the A-Z list (Serials Solutions) for holdings. (That way I do not have to maintain the electronic availability in two places.)

If our subscription changes from print-only or print + online to online-only, we move the order record to the bib for the online, and close out the print holdings. There are notes in the order record as to which formats are subscribed and when it was changed.

We do not have a MARC service for e-journals, so the only e-journal records in the catalog (for the most part, with some exceptions) are titles for which we have an actual subscription. (Not titles that are included in aggregators or collections.) So we try to steer users to the Journal Finder (A-Z list) instead of the catalog for journal holdings, which also include our print titles, with a link back to the catalog for holdings.

We also have some order record codes for titles that we have canceled because they are included in an online collection of some kind. If we keep the print volumes, then that record stays visible. If we have discarded everything, we still keep the record and order history, but it is suppressed from public view.

We are beginning to switch more of our print journal titles to online and need to come up with coherent procedures for making the change.  I would be interested in hearing from others about how they do this.

Do you catalog the new format as a new title, or do you use the existing bibliographic record?  Do you close the order for the print title and create a new order for the online version, or do you adapt the print order record to reflect the new situation?

Thanks for your input.
